General Description

The position reports to the Cultural Preservation Department Director and is responsible for providing secretarial, clerical, and administrative support to the Cultural Preservation Department to ensure that services are provided in an efficient and effective manner. 

Responsibilities

  • Operate basic office equipment including, but not limited to, fax machine, copier, and multi-line phone.
  • Answer all incoming calls and handle callers’ inquires, re-direct calls to appropriate staff members, take adequate messages when required, and maintain accurate call log. 
  • Pick-up and deliver mail, stuff, seal, and label all outgoing mail, open and date stamp all general correspondence, maintain the general filing system and file all correspondence.
  • Maintain an adequate inventory of office supplies, and order office supplies when needed.
  • Coordinate the repair and maintenance of office equipment.
  • Run work related errands as requested and assist the Cultural Preservation Director and other staff as requested.
  • Perform other duties/special projects as assigned by the Cultural Preservation Department Director.
  • Filing and record keeping of departmental documents
  • Basic knowledge in the digital copying and transfer

QUALIFICATIONS/EXPERIENCE

  • Associate’s Degree required.  Bachelor’s Degree preferred.
  • At least one year experience in an office setting and/or equivalent combination of education and training.
  • Ability to maintain strict confidentiality of information.
  • Must have computer knowledge and experience with Microsoft Word, Excel, Access, PowerPoint, and Publisher software, and able to work on computer for extended periods.
  • Must have attention to detail and high level of accuracy, must have effective communication skills both written and verbally, and excellent writing ability for preparing reports and correspondence.
  • Able to organize/prioritize multiple tasks effectively, and effective organizational skills for maintaining files and other documents.
  • Must have excellent customer service skills and able to work with diverse groups.
  • Must be professional in demeanor and appearance.
  • General Public relations skills and public speaking abilities.
  • Understand the importance of cultural preservation, and possess cultural awareness and sensitivity to all situations.
  • Must have a valid driver licenses and be insurable.
  • Must be able to pass a background check and drug screen.
