General Description

This position is located at the Absentee Shawnee Tribal Clinic - Little Axe Clinic in Norman Oklahoma.  The Little Axe Clinic is an outpatient multi-disciplinary clinic established and managed by the Absentee Shawnee Tribe of Oklahoma. Primary duties include being responsible for scheduling patient appointments for all patients in high volume call center to optimize throughput/patient servicing. Capture demographic and insurance/clinical information in a timely and efficient manner. May be responsible for pre-registering the patients, authorizing the procedures and/or checking for appropriate medical necessity. Will communicate preparatory and other procedure-based instructions as required/directed by clinical staff.

Responsibilities

  1. Excellent communication and interpersonal skills required, especially telephone on-stage etiquette.
  2. Ability to speak with patients, physicians offices, payers, etc. while inputting information on-line.
  3. Must maintain a professional attitude toward customers at all times; activate patient care/advocate for patient complaints/concerns for logging/tracking/resolution within Administration in a timely and professional manner.
  4. Insurance knowledge highly preferred.
  5. Able to use critical thinking skills to prioritize multiple tasks within a call center setting, and problem solve when call protocols are not available.
  6. Incumbent interviews patient to obtain pertinent data and information for insurance and billing purposes, updating records data integrity, etc.
  7. Operate telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments.
  8. Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  9. Schedule appointments, and maintain and update appointment calendars.
  10. Transmit information or documents to customers, using computer, mail, or facsimile machine.
  11. Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
  12. Enters client data into the appropriate database; maintains accurate files, and organizes data.
  13. Conducts self in accordance with AST administrative manual.
  14. Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.
  15. Performs other related duties as assigned.           

Education Requirements and Qualifications

  • High School Diploma or GED.
  • At least three years of clerical, secretarial, or medical office experience preferred.
  • Prefer completion of a program or training in Medical Office Technology or a related field (ICD 9/10 and CPT coding highly preferred).
  • Prior experience in hospital or doctors’ office preferred.
  • Skill in using a computer and knowledge of software to access and interpret patient data
  • Ability to communicate effectively with clients, visitors and staff.
  • Culturally sensitive to Native Americans, working experience preferred.
  • Self-motivated, have the ability to prioritize work tasks and be creative with projects.
  • Good organizational skills.
  • Must posses a valid Oklahoma Driver’s license.
  • Must be able to pass a background check.
