General Description
This position is primarily located at the Li Wi Wi Nwi Health Clinic, Norman, Oklahoma. The Li Si Wi Nwi Health Clinic is an outpatient multi-disciplinary clinic established and managed by the Absentee Shawnee Tribe of Oklahoma to serve Native Americans and Non-Natives. The primary responsibility of this position is to provide HIM guidance and support to the HIM staff in order to complete daily HIM scanning, indexing, release of information requests, and auditing of patient documents.  Also, provides backup coverage as needed.
Duties and responsibilities
Responsible for scanning and indexing of incoming patient reports in EHR.
Provides supervision of the HIM staff when the HIM Director is out of the office.
Assists and represents the HIM Director when designated.
Maintains current list of titles for scanned documents.
Reviews monthly statistical report for scanning at Shawnee Clinic and Little Axe Clinic.
Monitors daily clinic rounds to retrieve incoming documents for scanning.
Reviews tracking of documents needing signatures monthly.
Monitors daily mail log and fax log at Shawnee Clinic and Little Axe Clinic.
Assists with HIM Office Procedures Book as needed.
Responsible for Release of Information billing on a monthly bases and assigns monthly collection calls.
Safeguards confidentiality of the medical charts/records and complies with all local, state, and federal laws pertaining to medical records.
Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
Reviews/audits medical charts/records for accuracy and completeness.
Participates as a team member with Clinic staff and Contract Health staff.
Performs all release of information requests following HIPAA regulations and compliance with local, state, and federal laws.
Monitor and records discrepancies from records review and returns forms to providers for correction.
Compiles and retrieves medical records data for audits and performance improvement studies, research, patient care evaluations activities, reports, and Health Center compliance.
Other duties as assigned.
Education requirements
Native American Preference/EEO/Drug Free Workplace
Required: High School diploma or GED.
2 years of experience in patient registration, medical data entry, or medical records.
One year in an actual outpatient setting is preferred.
Certification or pending certification for electronic health record or HIPAA.
Computer literacy required (Window operating systems (Microsoft Word, Excel).
Display a positive attitude as well as professional, polite, considerate and courteous conduct and treatment of others in the course of duties.
Maintain acceptable levels of attendance and punctuality as specified in trial and departmental policies.
Able to demonstrate good oral and written communication skills as well as analytical thinking.
Must be able to pass a criminal background check and drug screen.
Must have valid Oklahoma’s driver’s license.
Must be able to keep information confidential.
