General Description

Provides administrative support to the AST Health HR Manager on all personnel matters. Performs clerical duties to ensure the accurate and timely processing of personnel information.  Duties may include processing applications for employment, performing simple mathematical calculations, answering phones and responding to general inquiries. Supports human resources processes by administering required tests; scheduling appointments; maintaining records and information.  Reporting skills, maintaining employee files, dependability, organization, scheduling, confidentiality, independence, verbal communication, teamwork, and Microsoft Office skills essential to the success of this position.

Responsibilities

 • Performs customer service functions by answering employee requests and questions.
 • Coordinates and monitors medical student requests and placement.
 • Maintain employee phone extension list and employee one call list.
 • Create monthly work anniversary and birthday list.
 • Assists with recruitment and interview process.
 • Keeps and maintains notes for department meetings.
 • Schedules meetings and interviews as requested by HR Manager.
 • Schedules conferences by reserving facilities at local hotels and/or restaurants.
 • Makes photocopies, faxes documents and performs other clerical functions.
 • Files papers and documents into appropriate employee files.
 • Processes mail and assists or prepares correspondence.
 • Answers phones and transfers to appropriate staff, greets public and directs them to correct staff member.
 • Monitor and maintain office supplies.
 • Create purchase orders for department needs and updates purchase order log
 • Assists HR Manager with various research projects and/or special projects.
 • Performs other duties as assigned including augmenting tribal complex HR office as necessary for manning assist.

Education
  • High School Diploma or equivalent
  • Associate’s degree or equivalent study from an accredited college or university in Business or healthcare related coursework.
Knowledge, Skills, and Abilities

  • Interpersonal Skills—the individual maintains confidentiality, remains open to others’ ideas and exhibits willingness to try new things.
  • Knowledge of HR’s role in the health system accreditation process and policy/procedure compliance for health system accreditation with either The Joint Commission or the American Association of Ambulatory Health Care (AAAHC) as it relates to supporting the human resources function within a health system.
  • Ability to exercise considerable initiative and willingness to learn Native American Human Resources Practices.
  • Ability to communicate efficiently and effectively both verbally and in writing.
  • Ability to establish and maintain good working relationships with other individuals of varying social and cultural backgrounds.
  • Planning/organizing—the individual prioritizes and plans work activities, uses time efficiently and develops realistic action plans.
  • Must be able to interact both professionally and effectively with executive personnel, board members, and senior ranking government officials, within and outside the tribal health system, including elected officials.
  • Must be able to pass background check.
  • Must be able to complete a negative result on a drug test
Training and Experience
  • A minimum of 1-3 years of office experience required.  Years of relevant experience may be substituted for required education on a year by year basis.
  • Experience working for Native American Tribal Health System, Governmental Health System, or other public/private sector related type health industry or health business (non-profit, for-profit, or not-for-profit), preferred.
