General Description

Provides administrative support to the Human Resources Director & staff on all personnel matters. Involves a combination of administrative and receptionist duties for the department. This position is responsible for providing assistance to visitors and employees as directed by supervisor.

Responsibilities

  • Ensures that all incoming phone calls and visitors are handled in a prompt and courteous manner.
  • Prepare, process, and review a variety of documents, including applicant and employee files for completeness and accuracy for submission standards.
  • Accurately handle Application systems and files
  • Supports staff with scheduling interviews, handling reference checks and personnel changes.
  • Assists HR staff with various research projects and/or special projects.
  • Maintains the HR calendars for meetings and interviews
  • Responsible for maintaining minutes for all meetings and assisting HR Director with Executive minutes as requested
  • Makes photocopies, faxes documents and performs other clerical functions.
  • Assists or prepares correspondence.
  • Complies and prepares data for statistical reporting
  • Assists employees with questions and refers to Generalists or Specialists as required
  • Assists HR staff in event preparation including Benefit Renewals, Employee Training programs and Retirement preparation.  
  • Ensures correspondence, including mail, is directed to the appropriate staff member.
  • Monitor and maintain office supplies
  • Establish and maintain cooperative communication with staff, superiors and visitors
  • Ensure office equipment is properly maintained and serviced
  • Performs work related errands as requested by HR staff
  • Performs other duties as assigned

Education & Qualification Requirements

  • Associates Degree required
  • 2 years’ experience in an office administration or clerical position required
  • Ability to distribute relevant information  quickly with a high level of accuracy
  • Excellent computer skills including, proficiency in Outlook, Word, and Excel.
  • Strong organizational skills
  • Competent in records management and general office procedures
  • Ability to work in a fast paced environment under pressure
  • Knowledge of general HR basics
  • Ability to maintain a high level of confidentiality
  • Excellent oral and written communication skills
Work Environment & Physical Requirements:
  • Must be able to sit or stand for long periods of times, stoop, and walk upstairs.
  • Must be able to carry  25lbs
  • Must have a valid Oklahoma Driver’s License; be able to pass a extensive background test and drug test.
