General Description

The purpose of the position is to provide high-level administrative support to the Realty Department by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities

  • Responsible for maintaining the administrative functions of the Realty office, including answering and directing phone calls, directing visitors, maintaining office schedules and assisting office staff as needed.
  • Prepare travel documents, purchase orders and supply requests timely and with accuracy
  • Maintain the electronic filing systems for all Realty records and correspondence
  • Coordinate conferences and meetings as needed
  • Create and mail newsletters or outreach information to the community as directed
  • Research and review projects as directed by supervisor
  • Establish and tract work procedures or schedules and keep staff on track for the daily work flow
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • File and process a wide variety of documents associated to Realty with accuracy and confidentiality
  • Assist in maintaining databases with high level of accuracy and attention to detail
  • Must be willing to cross-train with duties such as realty specialist.

Education/knowledge requirements

  • Must have a high school Diploma or Equivalent. Associate’s Degree preferred.
  • Minimum of two years of professional or technical administrative experience in business or public administration or an equivalent combination of education and experience
  • Must possess excellent written and verbal communication skills.  Must have excellent computer skills
  • The work is principally sedentary desk work with no special physical demands required.  Duties are performed in an office environment, training rooms, conference rooms, etc.  Work involves walking, standing, bending and carrying papers, books and ledgers. 
  • Must posses a valid Oklahoma Driver’s License.
  • Must be able to pass a comprehensive federal background check.
