General Description

The purpose of this position is to perform clerical, managerial, and administrative functions for the Election Commission.

Responsibilities & Duties

  • Take notes from all Election Commission meetings with independent responsibility for securing additional information (research) as may be required from appropriate reference sources.
  • Transcribes minutes in final form and is responsible for correct punctuation. Spelling, capitalization, grammar, placement and arrangement of material, including copies and attachments to be distributed to Election Commission members.
  • Prepares agenda for meetings.
  • Schedule monthly or special meetings for the Election Commission and is responsible for notifying the Commissioners of such meetings.
  • Compose replies to inquiries by compiling information from office files and record or for subject matters.
  • Set up and maintain a variety of files involving numerous subject headings and sub-headings, cross-reference files which include correspondence, reports, Publications and other office records.
  • Searches files and withdraws required file material.   
  • Segregates, screens, selects, and assembles files and record material for destruction or transfer to a record holding file.
  • Responsible for preparing all ballots and other related materials to be used for Primary and Run-Off Elections and/or special elections.
  • Compose and edits Election Commission newspaper column for the monthly newsletters
  • Prepare FY Budgets and be responsible for budget modifications when required.
  • Other duties as assigned.

Qualifications

Education and Qualifications
  • High School Diploma or OED; preferably some college/office experience.
  • Knowledge of Election Commission Functions and the Election Process
  • Knowledge of a body of established rules, procedures, and operations in order to perform the full range of recurring clerical assignments and resolving day to day problems.
  • Knowledge of routine office equipment
  • Highly Self-motivated
  • Ability to make decisions, without supervision.
  • Effective oral and written communication skills.
  • Must have a valid Oklahoma Driver’s License. 
  • Must be able to pass a background check. 
Physical Requirements and Working Conditions
  • Must be able to sit, stand, stoop, bend or kneel for long periods of time.
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
  • Frequent lifting (up to 15 lbs)
  • Occasional lifting (up to 30 lbs)
