General Description
The position is located in the Behavioral Health Services under direct supervision of the BHS Director. Primary duties include patient registration, scheduling appointments; answering and directing all phone calls, maintaining a professional and confidential working environment.
Responsibilites
Answer telephone and greet visitors at the offices of the Behavioral Health Services Department. Takes telephone messages and routes them to the appropriate person.
Assists patients to complete and update forms for the Patient Registration system by obtaining pertinent patient registration information through interview, electronic, or mailed correspondence prior to receiving services; when possible, input data simultaneously during the interview.
Provide registration duties for psychiatric services.
Will be responsible for vital signs and documentation for patients of the psychiatrists; training provided.
Ensure patient’s understand Patient Registration process to determine appropriate response to patient questions and applications and communicates appropriate information needed to patient eligibility process.
Effectively communicates the following; specific information needed to complete the registration process, the reason for requesting the information, and be able to ascertain that information received is as accurate as possible.
Maintains keys, enters, updates, and verifies all alternate resource data necessary; verifies insurance coverage; obtains signatures for file on forms for alternate resources.
Performs routine clerical duties including processing incoming and outgoing mail, maintaining mail logs, filing, typing/computer work. Enters patient’s data into the appropriate database; maintains accurate files, and organizes data.
Assists with the planning and development of forms and resource materials such as flyers, pamphlets; includes making copies of forms and resource materials as needed.
Assist with Program grant’s special events/youth activities as needed.
Assist Shawnee BH and LAC/BH Admin. Assistant as necessary.
Performs other related duties as assigned.     
Education Requirements and Qualifications
High School Diploma; Bachelor’s Degree in psychology, health care preferred.
At least three years of clerical or secretarial experience in a Health or Behavioral Health setting.
Skill in using a computer and knowledge of software to access and interpret participant data.
Ability to communicate effectively with patients, visitors and staff.
Must be culturally sensitive to Native Americans and their circumstances.
Must be self-motivated, have the ability to prioritize work tasks and be creative with projects.
Must have good organizational skills.
Must have a valid unrestricted driver’s license
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
