General Description
The Tribal Court Clerk Administrator shall be responsible for the administration of the Trial Court of the Absentee Shawnee Tribal Court and for all such administrative and ministerial duties prescribed by the Code or as assigned by the Absentee Shawnee Tribal Chief Justice.
Responsibilities & Duties
Responsible for case file management to include: maintain record of all cases filed in Tribal Court, assign case file numbers to all cases; file documents for new and existing Court cases; file materials according to established procedures; provide copies of Court files as ordered by the Tribal Court or requested by external agencies; maintain database of all cases filed with the Tribal Court; provides statistical reports to the Attorney General with respect to all cases filed and/or pending before Court.
Responsible for task associated with Tribal Court Hearings to include: Operate audio recorder and maintains all recordings of Court hearings; provides all files to Tribal Court Judge in preparation of a hearing; prepares Courtroom all necessary materials and/or services needed for litigants; prepares and posts daily docket.
Prepares Court pleadings and other Court related documents such as: prepare Orders including but not limited to, set overs and appointments of Attorney at the direction of the Tribal Court Judge; prepare notices of court hearings and certificates of service for all orders sent from the Court; finalizes and mails Court Orders at the direction of the Tribal Court Judge.
Files all paperwork presented to the Court.
Administers Tribal Court information and forms to the public upon request and provides directions when needed.
Responsible for tracking and processing all Tribal Court fees. Set up account receivable cards for defendants ordered to pay fines that indicate payment fee schedule.
Notarizes documents for the public as needed.
Maintains the Tribal Court offices to include: maintaining office supplies and stock; prepare check requests and purchase orders; prepare travel/training requests and arrangements; prepares correspondence, copies and faxes as requested; maintain Judge’s calendars and prepares daily schedule; schedules and confirms hearing dates.
Must adhere to Absentee Shawnee Tribe Personnel Policies and Drug and Alcohol Policies.
Manage Tribal Court staff

Qualifications
Education and Qualifications
Must possess a high school diploma or GED equivalent. Prefer a Bachelor’s Degree in pre-law or similar field, or possess a paralegal certificate. Prefer two years of work experience in the areas listed above. A recent graduate of an accredited law school.
Be a motivated, self-starting individual and possess strong organizational skills with substantial record management experience.
Good oral and written communication skills.
Possess an understanding of the legal process, be willing to learn and take direction from our Tribal Court Judge.
Be familiar with Absentee Shawnee Judicial Code. Possess legal research skills to assist the Court.
Possession of, or ability to obtain, Notary registration within 30 days of hire.
Possess a working knowledge of Microsoft Office and a familiarity with accessing legal research on-line.
Knowledge of Tribes and Tribal Culture preferred.
Effective oral and written communication skills.
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check.
