General Description

The ECM Office Manager provides high-level administrative, operational, and project support to ensure the efficient and effective delivery of departmental services. In addition to advanced administrative functions, this position plays a key role in driving the department’s digital transformation initiatives through Laserfiche document management, staff training, and workflow optimization. The role also contributes to organizational success by enhancing staff efficiency, improving task coordination, and supporting adherence to structured departmental workflows and operational procedures.

Responsibilities & Duties

  • Operate basic office equipment including, but not limited to, fax machine, copier, and multi-line phone.
  • Answer all incoming calls and handle caller’s inquiries, re-direct calls to appropriate staff members, take adequate messages when required, and maintain accurate call log. 
  • Pick-up and deliver mail, stuff, seal, and label all outgoing mail, open and date stamp all general correspondence, maintain the general filing system and file all correspondence.
  • Maintain an adequate inventory of office supplies, and order office supplies when needed.
  • Coordinate the repair and maintenance of office equipment.
  • Run work related errands as requested and assist the ECM Director and other staff as requested.
  • Filing and record keeping of departmental documents
  • Basic knowledge of digital copying processes and file transfers
  • Support departmental staff by providing guidance on procedures, tracking progress, and reinforcing workflow expectations.
  • Track departmental project timelines, monitor staff compliance with established workflows and procedures, and provide ongoing support to ensure task completion and adherence to department standards
  • Provide administrative support to the ECM Director, including scheduling meetings, assisting with communications, and helping coordinate departmental activities.
  • Support the department’s digital transformation efforts through Laserfiche document management, staff training assistance, and process optimization support.
  • Must adhere to Absentee Shawnee Tribe Personnel Policies and Drug and Alcohol Policies.
  • Other duties as assigned.

Qualifications

Education and Qualifications
  • Associate’s degree in Information Technology, Computer Science, Business Administration, or a related field preferred.
  • Laserfiche Gold Certification Preferred
  • Excellent Oral and Written skills
  • Must be able to pass a drug test for pre-employment for the Tribe
  • Must have a valid Oklahoma Driver’s License. 
  • Must be able to pass a background check. 
Knowledge of:
  • Proficient in Laserfiche document management, including folder organization, search functions, tagging, and metadata.
  • Able to support staff with digital workflows, document retrieval, and form design.
 Skills and Abilities:
  • Strong attention to detail when organizing digital records.
  • Able to explain simple tasks clearly to other staff members.
  • Comfortable following digital procedures and documenting steps.
  • Willingness to learn new Laserfiche features, such as tagging, routing, and metadata use.
Physical Requirements Working Conditions                                                   
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
  • Willing to travel.
