General Description

The Administrative Specialist provides essential administrative, clerical, and operational support to the Language & Cultural Department. This position supports language revitalization and cultural preservation initiatives by coordinating daily operations, maintaining accurate records, assisting with grants and budgets, and serving as a primary point of contact for department communications. The Administrative Specialist works closely with staff, community members, elders, educators, and external partners while respecting cultural protocols and confidentiality.

Responsibilities & Duties

  • Provide administrative support to the Language & Culture Department Director and staff
  • Prepare, format, and maintain correspondence, reports, meeting minutes, and official records
  • Schedule meetings, classes, cultural activities, and community events; coordinate logistics
  • Serve as front-line contact for the department, responding to phone calls, emails, and visitors
  • Maintain organized filing systems for language materials, program records, and cultural documentation
  • Assist with purchasing, invoicing, travel arrangements, and reimbursement processing
  • Track departmental budgets, expenditures, and assist with basic financial reporting
  • Assist with enrollment, attendance tracking, and record-keeping for language classes and cultural programs
  • Coordinate office supplies, educational materials, and cultural resources
  • Support community outreach efforts, workshops, and cultural events
  • Maintain office equipment, supplies, and materials related to language and cultural programs
  • Maintain organized digital and physical filing systems, including cultural and language materials
  • Support coordination of contractors, language teachers, speakers, and cultural consultants
  • Support the protection of culturally sensitive and restricted information
  • Maintain confidentiality of sensitive cultural, linguistic, and community information
  • Must adhere to Absentee Shawnee Tribe Personnel Policies and Drug and Alcohol Policies
  • Perform other duties as assigned

Qualifications

Education and Qualifications
  • High school diploma or GED required
  • Associate’s degree in business administration, tribal administration, or related field preferred
  • Two (2) to four (4) years of administrative or office support experience
  • Experience working in a tribal government, education, nonprofit, or cultural program preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and/or Google Workspace
  • Ability to work respectfully with elders, fluent speakers, and community members
  • Ability to manage multiple priorities independently
  • Understanding of or willingness to learn tribal cultural values and protocols
  • Commitment to language revitalization and cultural preservation
  • Ability to handle confidential and culturally sensitive information
  • Must be able to pass a drug test for pre-employment for the Tribe
  • Must have a valid Oklahoma Driver’s License. 
  • Must be able to pass a background check. 
Physical Requirements and Working Conditions
  • Must be able to sit, stand, stoop, bend or kneel for long periods of time.
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
