The After School Program Coordinator oversees the planning, implementation, and operation of two after-school program sites. This position is responsible for program development, staffing coordination, compliance and licensing (as required), enrollment processes, and the creation of operational forms and procedural manuals. The Coordinator provides leadership and guidance to Assistant Managers and staff at each site to ensure consistency, quality, and alignment with program goals. The program serves students in Pre-kindergarten through 8th grade and is designed to support youth development and academic success through four core components: 1) Academic success; 2) Homework assistance (tutoring); 3) Enrichment; 4) Nutrition.

Responsibilities & Duties

The After School Program Coordinator is responsible for the overall leadership, coordination, and quality assurance of two after-school program sites. Duties include, but are not limited to, the following:
  • Provide programmatic oversight and guidance to Assistant Managers and tutors at each site to ensure high-quality, developmentally appropriate programming.
  • Support the design and implementation of enrichment activities that extend the school day through engaging, meaningful learning experiences, with an emphasis on academics, literacy, and technology.
  • Ensure effective homework assistance and tutoring services that reinforce school-day learning and support academic success.
  • Oversee youth supervision practices, including snack service, outdoor play, and structured activities, while supporting positive behavior management strategies and consistent enforcement of the program’s discipline policy.
  • Maintain oversight of participant records, attendance, and required documentation to ensure accuracy, compliance, and reporting readiness.
  • Recruit, train, supervise, and formally evaluate staff; identify professional development needs and coordinate ongoing training opportunities.
  • Promote Absentee Shawnee Tribe culture, language, and values, as well as social-emotional learning, throughout all program activities.
  • Support youth development by ensuring access to a broad range of enrichment opportunities, including arts, technology, athletics, and social skill–building activities.
  • Facilitate clear and consistent communication among Assistant Managers, school personnel, families, and program staff to improve student engagement and reduce barriers to learning.
  • Serve as a resource and model for best practices in after-school programming and support the development of cost-efficient, replicable program models for Tribal use.
  • Assist in building and maintaining collaborative relationships with school administrators, teachers, Boards of Education, Tribal departments, and other relevant partners.
  • Coordinate program participation with other Tribal departments and community-based services as appropriate.
  • Develop and implement strategies to increase family involvement and engagement in the after-school program.
  • Assist in the development, monitoring, and implementation of the after-school program budget.
  • Assess ongoing needs and interests of students, families, and school staff; use data and feedback to revise programming as needed.
  • Prepare and submit monthly program reports to the Executive Director and/or TOC Coordinator, including informal and formal evaluations of program progress.
  • Ensure compliance with Absentee Shawnee Tribe Personnel Policies, including Drug and Alcohol Policies.
  • Perform other duties as assigned.

Qualifications

Education and Qualifications
  • Must be at least 21 years of age and have two of the following:
    • One year tutoring experience and/or experience in operating an after school program;
    • Bronze child care credential or working towards certification; or willing to obtain.
    • Associates degree in education or related degree.
  • Knowledge of effective teaching methods and curriculum development.  Ability to design programs to meet the learning needs of elementary and middle school students.
  • Familiarity with Microsoft Word and the internet desired.
  • Applicants must have experience in working with Native American communities and parents of school age children are strongly encouraged to apply.
  • Must be able to pass a comprehensive background check and drug screen.
  • Must be a U.S. citizen, U.S. national or lawful permanent resident alien of the United States.
  • Must have a valid, non-suspended or unrestricted OK driver’s license.
  • Must be able to travel if necessary.

Physical Requirements and Working Conditions
  • Must be able to sit, stand, stoop, bend or kneel for long periods of time.
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
  • Frequent lifting (up to 15 lbs.).
