General Description

This position is primarily located at the Little Axe Health Center in Norman, OK within the PRC/Contract Health Services (CHS) Department. The purpose of the position is to provide clerical assistance and support to the PRC/ Contract Health Services Department. Entering data in different software, assisting with referrals to be submitted to outside providers. Responsible for submitting proper documentation to insurance entity’s for prior authorizations.

Duties & Responsibilities

  1. Performs clerical assistance including requesting documents from providers, reviewing primary insurance status.
  2. Manage profiles, including updates, consents and other important information.
  3. Responsible for maintaining accurate documents required to complete referrals requiring prior authorizatins
  4. Provides information in person or by telephone regarding services available under the Absentee Shawnee Tribe’s Health Programs.
  5. Responds to PRC/ CHS inquiries and requests for PRC/CHS assistance.  Such responses are through telephone, correspondence, and personal visits with consumers. 
  6. Develops and maintains a positive working relationship and supports the overall team effort of the Absentee Shawnee Tribal Health program.
  7. Verifies all alternate resource data necessary for patient and third party payers; verifies insurance coverage; obtains signatures for file on forms for alternate resources.
  8. Performs routine clerical duties assisting in outgoing referrals and their status
  9. Enters client data into the appropriate database; maintains accurate files, and organizes data.
  10. Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.
  11. Attends health orientation, HIPAA training, safety training and other health system training needed to be competent in their position.
  12. Performs other related duties as assigned. Patient Advocacy/Verification of Insurance:  Calls Customer Service or via Insurance Website for effective date, benefits, and third party eligibility, and for other required information for processing individual patients.
  13. Performs other duties as assigned.

Education Requirements

SKILLS AND ABILITIES:
  • Incumbent must possess the ability to interact with a wide variety of individuals and handle several complex situations simultaneously. It also requires impeccable communication and negotiation skills, written and verbal, and excellent computer skills. Must be able to provide quality customer service.  Must be able to apply critical thinking through the ever changing work environment.  Knowledge of software to access and interpret patient data.

  • Must be able to work in an office setting with public interaction and exposure to potential illnesses.
  • Must possess a valid Oklahoma Driver’s license.
  • Must be able to pass a background check and drug screen.
QUALIFICATIONS:
High School graduate or GED. 
3 or more years experience as clerk or receptionist in a medical or business office setting
Prefer completion of a program or training in Medical Office Technology or a related field.
Experience with electronic health record (EHR) software preferred.
