General Description

The purpose of the position is to provide high-level administrative support to the Tribal Secretary by handling the day to day clerical functions of the office. Providing polite and professional assistance via phone, mail, and email making as well as directing information requests to the appropriate correspondence or department.

Responsibilites

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and ordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Assisting in making travel arrangements.
  • Screening phone calls and routing callers to the appropriate party.
Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Manage and maintain s schedule for the Conference Room.
  • Communicates with media on needs for public relations activities inclusive of storylines, photo opportunities, etc.
  • Creates and implements community related activities for presentations, mail-outs and other related informational needs.
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheets, database, or presentation software
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • Prepare responses to correspondence containing routine inquires
  • Perform general office duties such as ordering supplies and maintaining records
  • Traveling, on occasion, with and/for the Tribal Secretary to various meetings
  • Make travel arrangements for the Tribal Secretary
  • Other duties as assigned by the Tribal Secretary

Education requirements and qualifications

  • Associates Degree (preferred) and a minimum of two years of professional or technical administrative experience in business or public administration or an equivalent combination of education and experience, substituting one year of qualifying experience for each year of the required education.
  • Must possess excellent written and verbal communication skills.
  • Must have excellent computer skills.
  • Must be able to pass an extensive criminal background check and drug screening.
