General Description
The Office Assistant works to support the Assistant Director and Director with administration of the childcare center, mainly in the front office. 
Responsibilities & Duties
  • Responsible for understanding the philosophy and administrative policies of the childcare center, and for ensuring they are implemented and followed.
  • As a communicator and promoter, will channel and receive information related to the center to the appropriate contacts and liaisons.
  • Cooperates with Assistant Director and Director in responsibilities of front office duties:  Answering phone calls and relaying messages, greeting visitors/parents, make copies, filing and other administrative duties as assigned. 
  • Willing to contact parents by telephone/email as requested by Assistant Director or Director.
  • Keep the front office and reception area clean, professional looking, and organized.
  • Maintain appropriate records and fully understands confidentiality.
  • Assist administration to raise the awareness of the Absentee Shawnee Tribe and the local community regarding the needs and demands demonstrated by the children, parents, and the administration of the childcare center.
  • Assists teaching and support staff when deemed appropriate by Assistant Director/Director.
  • Willingness to accept other duties as assigned.
  • Decision-making authority. The Office Assistant will not have any decision-making authority.  The Director has the final decision.
Responsibilities regarding children and parents. Office Assistant will ensure and help the Director, Assistant Director and the teachers to maintain the social, intellectual, emotional and physical well-being of the children.
  • Maintain open communication with parents to ensure continuing relationships.
  • Will learn and follow all DHS Regulations and Policies.
  • Responsibilities regarding childcare staff and program.  The Office Assistant is responsible for helping the Assistant Director and Director to provide and maintain a safe and secure learning environment for the children.
  • Assisting to help provide a healthy work environment for staff and children.
  • Assist Assistant Director in coordinating ongoing staff training based upon individual staff needs.
  • Always maintain CONFIDENTIALITY. 
  • Assists the Assistant Director and Director as needed to complete other aspects of the Child Care Center as needed.

Qualifications
Education and Qualifications
  • Must be at least 18 years of age.
  • High School Diploma or equivalent, Associates Degree in Early Child Care, preferred.
  • Experience in clerical duties, 6 months in a childcare setting preferred.
  • Must have experience working with MS Office products and data entry.
  • Must possess strong customer service and communications skills.
  • Valid OK Driver’s License and has reliable transportation.
  • Must be able to pass criminal background check with fingerprinting.
  • Must be able to pass a drug screen.

  • Have good physical strength and stamina; 
  • Be independent, responsible and self-disciplined; 
  • Ability to lift 50lbs. 
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
