General Description
The purpose of this position is to serve all of the AST Health System.  The AST Health System is an ambulatory health system that currently serves patients with Insurance (Indian and Non-Indian), Absentee Shawnee Tribal Citizens, and Absentee Shawnee Tribal employees and other Native Americans.
The Dementia Grant Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.  The primary duties and responsibilities focus on assisting managers in the development of new services generated under the Alzheimer’s Disease Program Initiative Grant.
ResponsibilitIes
The Dementia Grant Administrative Assistants are responsible for a wide range of technical tasks and may vary, but typically include:
Scheduling.
Setting appointments.
Assisting managers with reports, articles and conference proceedings.
Data entry.
Working with current software technologies.
The general job responsibilities include:
Communicating with healthcare teams and patients.
Providing quality customer service—in person, on the phone, emails and more.
Organizing projects.
Detail oriented.
Demonstrating good teamwork.
Routine clerical duties such as answers phone, maintain files, faxing, photo copying.
Manage calendar, setup conference calls, coordinate meetings.
Assist with planning and setup for special events.
Prepare communications, such as memos, emails, reports and other correspondence.
Assist with on-line training program and data tracking.
Assist with registration and scheduling of training with participants.
Assists with the planning, development of forms and resource material such as flyers, pamphlets.
Other duties as assigned.
Education Requirements and Qualifications
Knowledge, Skills and Abilities
Must be reliable, detailed oriented, capable of multi-tasking with excellent written and verbal communication skills as well as strong professional customer- service interpersonal skills.  
Ability to communicate effectively orally and in writing; ability to relate well with co-workers and the general public.
Ability to adjust to changing conditions.
Must be computer literate required (Windows operating systems – Microsoft Word, Excel, Power Point). 
Must have a valid Driver’s License.
Must be able to pass a background check and drug screen.
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
Frequent lifting (up to 15 lbs.)
Occasional lifting (up to 30 lbs.)
