General Description
The Dental Office Manager is a vital member of the Dental Department. This position is located at the Absentee Shawnee Tribal Dental Clinic located at the Little Axe Health Center in Norman. This facility provides general dentistry and oral hygiene care for the citizens of the Absentee Shawnee Tribe, their immediate dependent family members, and members of other federally recognized American Indian Tribes and Alaska Natives residing in the tribe’s health program catchment area. The Dental Office Manager will directly report to the Dental Director and serves as the administrative coordinator and receptionist for the Dental Director and Staff Dentists. The Dental Office Manager will also provide business office support to the Dental Director, Staff Dentists, Hygienists and Other Dental Office Staff (clerical/clinical). Additionally, this individual will assist in the dental clinic as needed.
Responsibilites
Supervises dental staff (clerical/clinical) and aids the Dental Director with the overseeing of daily dental office operations.
Actively participates in the coordination of the dental clinic through performance of routine administrative, clerical and secretarial duties.
Determines patient eligibility for care prior to making appointment, and coordinating with Patient Benefit Advocate regarding seeking alternate resources.
Establishes dental staff schedules, allocation of staff, and assures effective patient care.
Trains and rotates office staff through various office duties to ensure cross-coverage in all job areas.
Oversees inventory and ordering of office supplies.
Independently answers routine inquires by providing general information from personal knowledge of director’s desire, past history or departmental policy.
Aids receptionist with scheduling appointments and regulates scheduling to provide a smooth efficient flow of patients through the dental clinic.
Observes the rules of confidentiality in the retention and dissemination of privileged and protected personnel and medical information.
Performs record keeping duties by organizing and maintaining records of all new patients, patients requiring treatment appointments, and patients needing recall appointments.
Works with Dental Director, Staff Dentist and other Senior Management to develop, implement, and monitor effective programs, systems and policies and procedures.
Serves as receptionist greeting and directing all patients and visitors who report to the dental clinic.  Receive all incoming telephone calls, determine the nature of the call, refer inquiries to the director or other appropriate staff or handle them personally.
Secures necessary health history from patients prior to seeing the dentist or hygienist.  Scan x-rays, health history and other dental documentation into the primary health record.
Serve as timekeeper for AST Dental Clinic Staff.
Record and keep minutes of the dental staff meetings or delegates this responsibility.
Coordinator the pickup and delivery of patient laboratory cases; including assuring proper payment has been received.
Utilizes automated data processing equipment to enter and retrieve dental visit data and other patient information maintained in the dental software.
Keeps dental reception and patient waiting area neat and clean at all times.
Assists in the dental clinic as needed and performs other duties as assigned.
Minimum qualifications
Education
High school diploma, GED, or technical school completion required. Associates Degree preferred.

Ability to operate and communicate effectively while under pressure is essential.
Must be able to demonstrate a high degree of patience and cope with the anger/fear/hostility of others in a calm manner.
Demonstrated ability to communicate effectively with peers and superiors.
One must have the knowledge of dentistry related subjects, such as, dental health safety, and dental terminology.
Must be computer literate with excellent computer skills and familiarity will Microsoft Office Suite.
Training and Experience
Minimum of three (3) years’ experience in a dental office setting in a managerial or administrative role with specific skill sets of dental scheduling, insurance verification, billing, presenting treatment plans and treatment coordination including dental financial agreements with patients.
Proficiency in using Dentrix dental software required.
Certificates and Licenses
Must have a valid Oklahoma Driver License.
Must be able to pass a criminal background check.  
Must be able to complete a negative result on a pre-employment drug test.
