General Description

The Grants Specialist will be a critical member of the Grants Department Team, reporting directly to the Grants Director. The Grants Specialist works across all program areas, including collaborating with finance and program directors to ensure effective and efficient grant making processes. The Grants Specialist will assist with the AST grants management database.

Responsibilities & Duties

  • Assists sections of grant proposals such as budget narratives, personnel and description sections. Edits proposals. Creates and/or gathers supporting material for grant proposals such as job descriptions, resumes, maps, organizational charts, bibliographies, tables of contents and forms.
  • Researches, analyzes, compiles and presents complex data from a variety of sources in order to communicate and reinforce difficult concepts and to communicate large amounts of quantifiable data for grant proposals. Ability to present data in a variety of formats such as graphs, maps, charts, illustrations, tables, diagrams, flow charts, plain text and other formats as needed.
  • Assists in the coordination of the preparation of grant applications for state, federal, public and private funding agencies, by providing a variety of administrative support activities to ensure the proposal requirements are met in a timely manner.
  • Prepares and submits various deliverables in accordance with applicable deadlines.
  • Assists with organization of activities related to compliance reviews and monitoring visits from regulatory agencies, accrediting organizations and funding bodies.
  • Coordinates workflow and deliverables with office staff, program staff, leadership and stakeholders in order to develop grant applications and support the ongoing implementation of grant programming.
  • Researches funding sources and disseminates information on funding opportunities to other grant staff.
  • Serve as the primary contact for sub‐grantees with grant related inquires.
  • Respond to sub‐grantee needs associated with grant compliance and reporting requirements.
  • Review sub‐grantee reports for completeness, accuracy, and compliance with requirements.
  • Plan and conduct performance reviews of sub‐grantees.
  • Perform all other duties as assigned.
Grant Documentation and Evaluation
  • Assists with budgets that are included in grant applications and grant reports.
  • Assists in the development and ongoing maintenance of a system to track and report grant performance measures to funding bodies, leadership, or other parties as directed.
  • Oversees and ensures that data is entered timely and correctly in the identified grant database and or grant management system.
  • Prepares, documents, and analyzes financial reports to ensure compliance with funding agencies and AST policies.
  • Conducts data collection and data entry across various data sources to support the evaluation of existing grants and/or potential grant opportunities.
  • Maintains the necessary records, files, reports, databases and resource material pertinent to grants office activities to ensure effective Grants Office operation and compliance with federal, state and local regulations.
Grant Monitoring and Evaluation Responsibilities
  • Assist with improving the way staff capture, access, and use grant making information to enhance programmatic and operational decision‐making, produce accurate reports of grant making results, enhance grantee/grant seeker relationships, and enable learning; enhance supporting systems and tools.

  • Project management experience, particularly with large scale projects
  • Data management experience, familiarity with data systems and business processes
  • Financial or business analysis skills
  • Experience managing large scale projects
  • Well‐developed facilitation and teaching skills
  • Exceptional communication skills
  • Natural curiosity for problem solving
  • Proficiency in Microsoft Office Suite, especially with Excel
  • Experience with complex database systems, experience with AmpliFund.
  • Ability to multitask and work independently and collaboratively to meet weekly, monthly, and quarterly deadlines
  • Professional, flexible, and a can‐do attitude.

Qualifications

Education and Qualifications
  • Bachelor’s Degree in English, Journalism, Political Science or Public Administration required.
  • Master’s Degree Preferred.
  • A minimum of 5 years of experience of technical writing, budgeting and computer skills.
  • Demonstrated competence in successful grant writing or other successful writing and an understanding of technical and financial requirements for large grants.
  • Demonstrated experience with Grants.gov and grant management software.
  • Demonstrated experience in the management of grants after receipt, both related to completion of deliverables and maintenance of budgets.
  • Effective oral and written communication skills.
  • Must have a valid Oklahoma Driver’s License. 
  • Must be able to pass a background check.
