General Description
Position is responsible for coordinating travel arrangements for all health personnel. Working in conjunction with the Medical Materials Department, Procurement Department and Accounting Department.
Responsibilities & Duties
Coordinate travel arrangements for all health personnel in compliance with GSA and Tribal guidelines.
Use planning and research strategies to procure quality goods and services at a reasonable cost.
Maintain and ensure proper documentation of travel preparations.
Respond to departments inquiries about changed, or cancellations.
Research and compare available travel and hotel accommodations to identify the best available option for each travel need.
Make all arrangements and reservations as requested when approved.
Distribute travel checks, reconcile travel refund or credits and ensure remind staff of travel settlements due date.
Obtain approval from leadership for travel requests and expenses that exceed established limits.
Advise travelers of and assists with any need for specialized travel documents.
Monitor and facilitate the use of company air travel credit cards, frequent flyer programs, and other applicable rewards and loyalty programs.
Process reimbursements for travel expenses.
Enter travel check request in Purchasing Systems Materials Management Director.
Perform other related duties as assigned.

Education and Qualifications
Associate degree or equivalent experience with particular knowledge, skills, and abilities to successfully perform the duties of the position.
Knowledge, Skills and Abilities
General office skills.
Strong communication skills both written and oral.
Must possess attention to detail and excellent organization skills.
Must be dependable.
Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal.
Proficient with Microsoft Office Suit, Microix, and MIP Accounting System or related software.
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check and drug test.
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity
Frequent lifting (up to 15 lbs)
Occasional lifting (up to 30 lbs)
