General Description

The Housing Management Coordinator has the primary responsibility to manage the day-to-day operations of the housing program and is fully accountable for all property operations.  Responsible to develop policies and procedures for the management of the Tiny Homes.  All duties performed must be in accordance with federal, state, local and tribal rules and regulations, and policies adopted by the Absentee Shawnee Tribe.

Responsibilities & Duties

  • Create and keep up-to-date policy and procedures to include housing rules, application process, eviction process, type of residency, maintenance, budgets, vendor relations, housing complex upkeep and repairs, compliance with housing regulations and other state, federal and grant entities.
  • Foster a safe, clean and peaceful environment for the Tiny Home housing community.
  • Reviews and processes applications/lease agreements per guidelines.  Monitor program waiting lists.
  • Assist clients/participants in completing move-in and move-out paperwork. Monitor individuals entering and exiting the village. Maintain logs and complete incident reports.
  • Supervise all work performed by AST Employees and/or vendors.
  • Supervise and monitor rent collection and compliance for non-payment.
  • Provide an on-site presence, provide assistance to the residents, enforce rules and guest policy. 
  • Respond to resident concerns and questions.
  • Responsible for submitting all invoices for payment.
  • Receives calls, complaints and non-compliance issues.  Follow-up and resolve the issues.
  • Identifies and resolves problems in a timely manner, gathers and analyzes information skillfully; develops alternative solutions; uses reason.
  • Maintains confidentiality.
  • Perform light-maintenance and janitorial of common areas, entry, kitchen, community space, bathrooms, grounds and the perimeter of the housing neighborhood.
  • Prepare vacant units including light maintenance, cleaning, and coordinating with vendors in a timely manner for repairs. Order and maintain inventory of basic supplies.
  • Prepare monthly board report for housing management department activity.
  • Inspects the property on a regular basis; monitors and maintains all maintenance activities.
  • Reports all liability and property incidents.
  • Ensure compliance with federal, state and local ordinances. 
  • Other duties as assigned.

Qualifications

Education and Qualifications
  • High School Graduate or GED equivalent. 
  • Two years related experience and/or training.  Housing management beneficial.
  • General office skills, computer skills, and the ability to work closely with fellow employees.
  • Ability to multi-task, work successfully under pressure, and effectively prioritize and manage time and workload to meet tenant needs.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Effective oral and written communication skills.  Excellent problem solving and conflict resolution skills.
  • Demonstrated ability to work with people with sensitivity to cultural, race, gender, mental health and class issues, and a demonstrated commitment to low-income housing and ending homelessness.
  • Must possess a valid Oklahoma Driver’s License.
Physical Requirements and Working Conditions
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
  • Frequent lifting (up to 15 lbs)
  • Occasional lifting (up to 30 lbs)
