General Description
The purpose of the position is to initiate, coordinate and execute a high-level of administrative support with cultural sensitivity to Indian Child Welfare department.
Responsibilities & Duties
Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.
Demonstrates a high level of professionalism in dealing with confidential and sensitive issues;
Answers and screens telephone calls in a professional and timely manner;
Takes accurate messages with a high degree of professionalism and courtesy and arranges conference calls;
Coordinates ICW calendar, virtual or in-person meetings , appointments and visitations;
Maintains budget ledger and monitors budget expenses both tribal and grant;
Process invoices and reconcile budgets with expense reports from AST finance;
Maintains and reconciles vehicle gas logs,
Exercises considerable judgment and discretion in handling requests for appointments and telephone calls;
Completes Native American enrollment verification and checks through the AST enrollment department;
Distributes and assist potential foster parents with foster care packet information;
Orders and maintains supplies; coordinates equipment maintenance;
Meets and greets visitors;
Maintain office and program inventory;
Proactively establishes and maintains highly organized filing system; files correspondence and other records;
Distributes daily internal/external mail and overnight packages;
Must be willing to work some evenings and weekends;
Assist with special events and projects as assigned;
Collects demographics, medical history and fact sheet for children coming into custody;
Must possess a history of excellent work attendance;
Must adhere to Absentee Shawnee Tribe Personnel Policies and Drug and Alcohol Policies
Perform other duties as assigned by ICW Director.
Education and Qualifications
High school diploma or equivalent with at least five years related work experience.
Excellent verbal and written communication skills.
General knowledge of Tribal family structure, Tribal customs and Tribal government.
Proficiency in MS Office and social media technology with a minimum typing speed of 50 wpm.
General knowledge of the Indian Child Welfare Act.
Strong organizational, problem-solving and analytical skill, able to manage priorities and workflow.
Knowledge of Native American family dynamics, child development, assessment in the risks of abuse and neglect with families and children.
Ability to interact and communicate effectively with the Native American population and the general public. Must be able to communicate professionally and respectfully using both verbal and written skills.
Must have a valid Oklahoma Driver’s License.
Must be able to pass a drug test for pre-employment for the Tribe.
Must be able to pass a comprehensive background check.
Physical Requirements Working Conditions
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
