General Description
This position is responsible for assisting in daily office needs, filing supporting documentation and managing the departments’ general administrative activities also providing assistance at each stage of the Procurement process. Duties include but are not limited to adding vendors, reconciling invoices, entering documents into the purchasing system, and data entry.
Responsibilities
Assists employees in guidance of the Procurement Policies and Procedures and federal regulations
Uses planning and research strategies to procure quality goods and services
Checking entity registration status and adding vendors into MIP Accounting
Respond to departments and supplier inquiries about order statuses, changes, or cancellations
Locates and match invoices to correct purchase requisitions to be paid
Analyze standard requisitions, invoices, and orders on all purchases
Track and monitor inventory and needs to determine when to order or purchase new items
Assists with tagging and maintains computerized inventory of tribal assets
Perform other duties as assigned by Procurement Director
Data entry and regular vendor maintenance
Education Requirements and Qualifications
High School Diploma and 3 years of office experience required.
General office skills, computer skills, and the ability to work closely and relate well with fellow employees
Strong communication skills both written and oral
Must possess attention to detail
Physically able to perform required duties lift up to 50 lbs., stoop, bend, or stand for long periods of time.
Must be dependable
Must possess a valid Oklahoma Driver’s License, be able to pass a background investigation, and be able to pass a drug screen
