General Description
This position is responsible for assisting with daily office needs, greeting customers, maintaining supporting documentation, and managing the departments’ general administrative activities. Duties include but are not limited to adding vendors to the accounting system, compiling requests for purchases, preparing purchase orders and invoicing, keeping track of purchases and supplies, handling purchasing inquiries, and data entry.
  • Follow purchasing strategies and policies to optimize procurement processes
  • Assists employees in the guidance of the Procurement Policies and Procedures and Federal Regulations
  • Respond to customer and supplier inquiries about order status, changes, or cancellations
  • Utilize planning and research strategies to procure quality goods
  • Assist with the processing orders while accepting, verifying and distributing deliveries to respective departments
  • Review vendor eligibility and add approved vendors to the accounting system along with updating employee vendor authorization letters
  • Maintain printer and cellular contracts, purchases, pricing, and supplier information
  • Monitor Central Supply Inventory levels
  • Assist with asset tagging and maintain inventory of tribal assets
  • Perform other duties as assigned by the Procurement Director
Education Requirements And Qualifications
  • High School Diploma and 3 years of office experience required.
  • Ability to  multi-task in a  fast-paced environment while maintaining focus on completing tasks
  • General office skills, computer skills, knowledge of  Microsoft Office, and the ability to comprehend and utilize various computer based inventory and accounting programs
  • Strong communication skills both written and oral
  • Must possess attention to detail
  • Physically able to perform required duties lifting up to 50 lbs., stoop, bend, or stand for long periods of time
  • Must be dependable, punctual, and flexible
  • Must possess a valid Oklahoma Driver’s License, be able to pass a background investigation, and be able to pass a drug screen
