General Description
The Procurement Clerk is responsible for supporting the daily operations of the procurement department by performing a variety of administrative and clerical tasks. This role involves organizing and maintaining records, filing supporting documentation, and ensuring the smooth flow of purchasing processes. The Procurement Clerk assists with vendor management, invoice reconciliation, contract support, and data entry into the purchasing system. Additional responsibilities include communicating with suppliers, monitoring purchase orders, and supporting contract negotiations to ensure timely and cost-effective procurement of goods and services.
Responsibilities & Duties
  • Review and evaluate purchase requisitions, invoices, and orders to ensure accuracy and compliance with standard procurement procedures.
  • Verify vendor eligibility and register new vendors within the MIP Accounting system.
  • Match invoices with related purchase requisitions to facilitate accurate and timely payment processing.
  • Maintain a high level of accuracy and attention to detail while managing multiple tasks and performing data entry.
  • Enter procurement data and oversee routine updates and maintenance of vendor records.
  • Apply working knowledge of procurement processes, including the creation of purchase orders, vendor selection, contract administration, and interpretation of contract terms.
  • Monitor inventory levels and initiate purchasing actions as needed to maintain adequate stock.
  • Support asset management by tagging property and updating computerized records of tribal assets.
  • Perform additional job duties as assigned.
Qualifications
Education and Qualifications
  • High School Diploma with a minimum of 3 years of office or administrative experience required.
  • Proficient in general office duties, including data entry, use of computer applications, and effective collaboration with team members.
  • Strong written and verbal communication skills.
  • Comfortable utilizing technology to support and enhance procurement processes, and adaptable to process improvements.
  • Highly detail-oriented, dependable, and able to manage multiple tasks under pressure.
  • Self-motivated and resilient, with the ability to work independently and in a team setting.
  • Resilient, self-motivated, and capable of working under pressure.
  • Strong attention to detail is required.
  • Must possess a valid Oklahoma Driver’s License.
  • Must be able to pass a background investigation.
Physical Requirements
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
