General Description
The purpose of the position is to provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Responsibilities
  • Responsible for receiving visitors, in person and by phone for the Finance department
  • Responsible for receiving funds from departments and prepares deposit for Staff Accountant I
  • Handles all incoming and outgoing mail, bank deposits, and errands as assigned.
  • Establishes, develops, maintains and updates filing system for the department as needed; retrieves information from the filing system when needed and maintains and updates for file retention.
  • Filling out Supply Requests and ordering supplies and prepares travel requisitions for all finance staff and or the Treasurer if requested.
  • Schedules and organizes department’s weekly activities such as meetings, travel, conferences and department activities for all member of the Finance Department.
  • Organizes and prioritizes large volumes of information and calls for the department; as well as take messages or fields/answers routine questions to cover phone correspondence.
  • Responsible for maintaining and balancing petty cash for the complex.
  • Maintains and distributes company cards, pike passes, long distance codes and store credit cards to departments as assigned.
  • Maintains filing system for checks and accompanying paperwork paid to vendors
  • Receives all funds for deposit, including from all departments, and prepares for delivery to Accounting Assistant or Staff Accountant I
  • Files resolutions, signature sheets, and W-9’s in Finance Department’s system
  • Contacts individuals and program managers for check pickup and distributes checks as requested by Accounts Payable
  • Eligible to become Notary Public for the department
  • Prepare resolutions on an as needed basis
  • Helps with projects as requested by Finance Department personnel
  • Performs all other duties as the supervisor may from time to time deem necessary
  • Scans accounting entries and attaches them in MIP accounting system
  • Prints the monthly bank statements and distributes to accounting staff
Education Requirements and Qualifications
  • Associates Degree (preferred) with a minimum of two years of professional or technical administrative experience in business or public administration or an equivalent combination of education and experience, substituting one year of qualifying experience for each year of the education.
  • Must have a valid Oklahoma Driver’s License
  • Must be able to pass a drug screening and criminal background review.
